Shouldn't your response be something along the line, "We are aware of the issues with the portal and we are working to fix those to provide a better service." It's not my fault your employees don't know how to manage the system. And if you're trying to pass the buck then why aren't clients made aware that you're not responsible up front? Also, I have the 4 minute long voicemail still saved where your wife, Bobbie Jo (who is clearly not qualified to be running an office, based on my experience with her and everyone else's 1 star reviews), directly calls me a bully for pointing out her unprofessionalism and disorganization.
