As a business owner myself, I know that if a front desk staff member makes an error, the professional response is to "eat the cost," not push it onto the client. Also, let's be clear: the fact that you changed your consultation policy afterward speaks volumes. If everything was as smooth and clear as you claim, there would be no reason to change your policy.
