I can't say enough good things about Optima Benefits & Payroll. As a small business owner, they…read morehave been a lifeline for our company, Optimum Influence Media. A couple of years ago, we had a few issues due to our old CPA filing our taxes under the wrong FEIN number. During that time, I worked closely with Sheril Damelio to resolve these issues. Not only did Sheril take the extra time to help me understand what was going on, but she also made it a priority to check in with me and ensure these issues never happen again. She was a godsend. As our company has grown, we have taken advantage of the HR resources that Optima offers, and we have been extremely satisfied. Sheril answered all of my questions and even guided me through signing into specific portals, utilizing tools, and exploring other opportunities to support our business. More recently, I have been working with Kathy Freeman, who is exceptional. She is always timely with her responses, and I feel confident knowing she is handling our payroll. If you are a business owner in the Rochester area, I highly recommend utilizing services from Optima. They are second to none in our community, and we are so lucky to have them! Thank you all.

Would not recommend to small businesses or NEW buisness. We set up service with only 1 employee and…read moreafter only a couple months we felt it wasnt working in our benifit to pay for such a service and called to cancel payroll service with them completley. I believe this was done in 2017. From then on our buisness had gone through a change of management and more importantly we were trying to find our way as new buisness owners during a pandemic with little resources to no help. While going through bank statements for tax purposes we came across Optima Benifits every few months for different charges. When looking more into it we were still being charged every quarter for the last 7YEARS for a service that we thought we canceled. The charges started at $21 when we signed up and continued to increase every year... $75 to 78.50 to 83 to 100 and a few random higher ones. When going back to look at our contract a few things were done wrong on both ends but getting in touch with them was not the easiest processes when the found out why we were calling. On our end apparently we were supposed to send them written notification to terminate service after verbal communication which for wjatever reason we failed to do.... for the 7 years inbetween we DID NOT recieve any sort of emails, phone calls or written letters regarding any type of service they have provided us. We never not even once received any documents from them not even for annual taxes! So im not sure what we were even being charged for. We no longer had any paid employees to which we would need a payroll. This is a family owned buisness. All under 1 roof family buisness! So yes we should have caught this much sooner and we learned our lesson the hard way. On the other hand what type of moral ethics does a company have to charge anyone for a service they clearly not providing? In the end we learned a tough lesson and that is to not trust anyone with just there word... always read the fine print and reread btwn the lines and most importantly follow up and dnt just take them at there word.

I have used Paychex at every employer I have had since they came to San Diego sometime in the early…read more80's. I even recommended them during a job interview. I have also used ADP payroll, which I did not like. The only problem, and it was major, was when we switched from regular p/r, 401(k,) and Flex Spending to their PEO Business Solutions in 2011 shortly after Paychex purchased the Florida company. That was a three month nightmare. I totally agree with the other reviewers if they were on PEO. The salespersons for the PEO didn't understand a lot of what they were selling. It sounds good but didn't work they way it was presented. After the first p/r on PEO I sent a two page, single spaced list of all the errors on the p/r. I am in California and the rep inputting the time insisted I give her hours for salaried employees. I tried to explain that if our p/r got audited by the State we could lose the exempt status for salaried employees if they were listed as being paid hourly. It fell on deaf, un-understanding ears. One of the problems in the set-up was that each individual component was completed by a different person rather than having one person set everything up from beginning to end for the customer and be the contact point throughout. Their PEO personnel were not well educated in the product they were implementing at the time. I would hope it has changed. I would NEVER recommend POE to anyone. The $75 handling fee to close a 401(k) is not unreasonable. It's unfortunate that the person only had $90 in the account, but that is not the fault of Paychex. All plan administrators have handling fees for various paperwork. Some of the statements of things that have happened to individuals appears to me that the person in charge of p/r at their employer's didn't really understand p/r, 401(k,) and Flex Spending accounts. Paperwork to make changes my seem burdensome, but it is the audit trail any company needs and should have. The charge for the flexible spending account for 2 years when there was no activity should have been caught by whoever processes p/r and approves Paychex's monthly invoices where it is clearly listed. As stated, Paychex hasn't always been perfect, but I highly recommend them. It could be that the Paychex staff in San Diego is of a higher caliber than those where people have had problems. Because I am an experienced administrator, I always demand that I have an experienced, high level rep to process my payroll. With the exception of the PEO disaster, there has never been a major problem, and the little "hiccups" in processing the regular p/r are resolved quickly. No company, even those who wrote negative reviews, is perfect or without mistakes/errors as they service their customers/clients.

Emails remain unanswered, even when they initiate a general email with all the questions that have been asked already and never reply back once you have replied to theirs. Passed from one person to the next. Phone service is a nightmare, average phone time is about 45 minutes, no one person can work the problem. They engage you on the phone with all kinds of questions, you are starting over every time for the same problem, they refuse to transfer you to a Supervisor, saying it's not allowed, then end a call by saying to follow-up with prior person--that's after about 25 min of the first person gathering information. I am a professional with a professional office, this service has been a nightmare and I woefully regret obtaining their services. Salesman is just that, he and the company are just scamming and they are untrustworthy. Stay away. Not at all recommended, won't be worth "a bargain price". I have hired at extra cost to me someone to review and correct their payroll services, filings and tax payments. What a crock.
