I was sent to Heartland when my Payroll company merged with them. Unfortunately I had to deal with them for over three years. I had some good reps working with me the first couple years, then it all went down hill. Customer Service is made up of a large group of people, so you can't deal with an issue one on one. I have to explain my issue to numerous people anytime something comes up. An unbelievable waste of time. My issues were always because of there errors which were just so numerous. I might add that nearly every issue was caused by their incompetence. The amount of incompetence with this system is shocking. I finally left last year, but need to retrieve past records, but their website is so poor, it's impossible to print or download my documents. I've been in business for 45 years now and from top to bottom, Heartland Payroll is the absolute, hands-down worst company of any sort I've ever dealt with. read more

As a small business owner, I expected basic accuracy from a payroll provider--but Heartland has consistently fallen short. We've experienced repeated issues with PTO policy implementation, including miscalculations, incorrect balances, and policies being assigned to the wrong employees. What's most disappointing is that these aren't complex requests--we're talking about basic math. Once they got rid of the personal payroll representative, the whole thing went south. At least when you had a rep (we had a great one) you had someone to connect with to fix problems that ALWAYS arose. NOW, you're lucky if in an email string you have the same person twice. They are constantly mishandling our withholding and causing the state to send warning letters. We have had money sitting in the state accounts for months and cannot get it back because Heartland just keeps withholding more. They hounded me to do my ERTC and then screwed it up, costing me thousands not to mention the time wasted chasing them down for two years about it. You cannot get customer service to give you a meaningful response. It has been a nightmare and I may have to sue for all the monies we have lost through the two companies we use them for. read more

they are making mistakes over mistakes. either over paying or under reporting ESD and L&I Everytime I complain, they tell me that Washington State is so complicated. If they take a client from a certain State to do Payroll, They HAVE to know the laws. I just got a $75 fine from ESD because they didn't report my SOC code which is a law since 2018. I recently had knee relplacement surgery and asked them how many sick days I have. When they said 24 hrs I was asking what happened to the 40 hours to be carried over from last year, They had no clue what I was talking about. Again, because they had no clue about the WA laws. The never kept track on any of our sick hours. L&I is constantly overpaid. and I have to fill out forms to get a reimbursement. So no, I do NOT recommend Heartland to anyone read more

We have used Heartland since 2017...They have charged us over $1800 in fines and fees for: missing employee information (from their incomplete onboarding process) and submitting payroll within 1-2 days of being processed (we were never told that we would be charged for submitting within 1-2 days of the processing day). Here's the real kicker...They let us continue to be fined for over 4 years without calling or emailing us to let us know what we could do to stop getting charged the fees. Heartland just continued to charge our credit card. They are devious, shady and do not understand what customer service means. Fine me once, explain the problem, give me a chance to fix it so I don't get fined again but instead, Heartland does not tell you you are being fined and continue to rack up fees for YEARS at the tune of over $1800. Comically poor service and customer support. Due to their inability to track information across multiple employees, they failed to file proper state forms causing the state to threaten action against my business. Despite bringing this to their attention in September, they still have not been able to provide anything close to a meaningful solution and have passed this issue off from one employee to another, choosing again today, in January, to send it to someone else within the company and request more time to figure out their mistake. Heartland is the worst. They ran payroll for my small business. They misreported payroll to my state (CA) for over a year. Took 10 months to get a hold of a live person in their tax department to even start trying to fix. Now CA is sending me delinquency notices and threatening a levy for a debt that we already paid to Heartland. We will likely need to sue them to collect. Ranking negative 5 stars. read more

I have been with Heartland for 10 years. In the last 2 - 3 months they changed their whole system. They took a perfectly good software program and changed it completely. Now it takes me twice as long to do my payroll. It takes forever to change screens and bring up reports. I have complained many times but they do not want to hear it. It is very confusing. By far the most annoying platform/service to work with. They add features to make payroll more difficult to process, and their platform is filled with bugs. Slow loading speeds, and constant timeouts make the experience anything but simple. Constantly having issues with reported information not matching up, and the representatives aren't familiar with CA labor laws well. Would never recommend anyone to use this company ever. I had the pleasure of training with Jacob in 2018 at Heartland and am very happy he is focusing his expertise with our payroll division. Heartland has tremendous value as no other payroll provider can make the WOTC process so easy. And since 1 in 3 Californians qualifies for a tax credit, employers are leaving their tax credits on the table when they're not working with Heartland. Also, what if there was a way you could eliminate paper in your onboarding process? Heartland does this all the time. Heartland is moving toward, removing any personal contact with the client. I have been processing payroll for several clients with Heartland for the past 10 years. I have always appreciated working with a dedicated payroll rep for the many accounts I process payroll for. Then a few months ago, they changed the system. You no longer have direct contact with anyone person. The e-mail is just payroll@..... and anyone, usually a different person responds. The service had gone downhill. There have been significant errors, and all you get are we're sorry it won't happen again. The error happens again! I have been told repeatedly if I request my payroll rep in the subject line that my rep will get the e-mail and respond. This is NOT the case. I sent in an e-mail a few minutes ago and two new people I have NEVER heard of responded. I fell like I am constantly training new people at Heartland. This is very time consuming! Now I am told they will be raising the fees!!! read more

Looks like the lowest rating I can give is 1-Star. I haven't had a Heartland employee yet who understands the accounting end of how & what they do impacts the client's books. And customer service...egads! No help at all. The last guy I had talked to about a week ago couldn't answer my question and told me to email my question to an email address that I didn't have before. I had him repeat it twice, I read it back to him and he agreed it was correct. That email continues to bounce back after 4-5 days of no one opening the email. On top of that, in every other sentence that customer service guy kept calling me "Boss". I asked him why. He said it was habit. I would never use this outfit. But then, I am an Accountant/Independent Contractor and don't have that latitude. And even though I have voiced my dissatisfaction with Heartland, the actual employee in charge who works with the company has done nothing. My employer switched to Heartland Payroll several years ago and they are the worst company to work with. Employees can never log in to their website to access their paystubs and if passwords need to be reset, the employees cannot reset it themselves. The person who handles our payroll needs to be sent an email and she then requests that Heartland email the employee instructions on how to reset their password. Our employees earn PTO (Personal Time Off) that is accrued based on their hours worked. Heartland is constantly messing it up by paying out the PTO earned rather than adding the hours, then taking the money out of the next paycheck and adding the PTO hours back, then doing the exact same thing with the new PTO hours earned. DO NOT SIGN UP WITH THIS COMPANY. THEY HAVE BEEN NOTHING BUT INCOMPETENT, UNPROFESSIONAL, AND A PROBLEM TO DEAL WITH.
