However, the…read moreoffice is disorganized, doesn't focus on the patient and the schedule and pacing of treatment necessary to keep on track with treatment; and nor are they courteous - frequently talking over you and not listening to what is being shared. Patient needs are secondary to the office staff scheduling process and approach to customer service. They could easily improve their service based on what the patient needs, rather than sticking to a tired scheduling routine that does not optimize treatment cadence. There are no emergency appointments built into their schedule ("they don't do that"). The current practices have caused me to have a treatment delay of over 6 weeks on a 14-month treatment plan - for which I am absorbing the time loss, cost and inefficiencies. Also, once you have paid your bill, you are left to deal with the insurances and reimbursements on your own without the aid of the billing department. The communication and partnership could certainly be improved, details shared, appointment protocol relayed ahead of time and next appointments made in advance or when it is urgent to get a patient their next step in treatment, timely. This team needs a lesson in customer service, efficiency, planning and communication/listening skills - to make it easier on their clients (who ultimately pay their salaries and are their reason for having employment). Without my census, they took away my money from my credit card for a treatment completed in 2021 and paid off per their financial manager back then. They never sent us a bill or note to pay until March this year, a new financial manager called me saying I owed them money. They also messed up the bills of my two other children multiple times and overcharged us monthly fees until I caught it. They moved the credit on their accounts to the account closed 3 yrs ago without notifying me until I caught it. Moreover, they constantly ignored me, not responding my call as they promised or ignoring my questions/providing wrong balance of my accounts in their response to my emails. After immense amount of time and effort and with my insurances' help to dig the history, I found out Dr. B's office failed to file to my insurances correctly for the treatment completed 3 yrs ago. They also got denied from one plan due to incorrect info they provided, but did not fix the mistake and re-file within the active filing window (they only re-filed in May this year after I challenged them). I emailed and called them to not withdraw from my credit card due to the dispute and investigation. I also said I will pay if they show me all the paperwork and prove they did all the filing correctly. However, they just went ahead and took away $925 from my credit card without notifying me. Communicating with their office has been extremely painful because they constantly ignored my calls/emails. I've spoken to 7 different financial managers in the past 2+ yrs plus Dr. B's wife. Just in the past 8 months (March to Nov 2024), they have changed 4 different financial managers. This also costed me huge amount of time and effort since I had to explain the history all over again to each one of them, which shouldn't even be my responsibility. In Aug 2024, they had a new financial manager (the one who talked to me in May already left). She was nice enough to at least listen to me and had a 3-way phone call with me and the insurance agent, but all in a sudden her line was disconnected during the call, and I was not able to find her anymore- she never responded my follow-up calls/emails. I found out a month later she also left the office. The succeeding financial manger never even responded my call. I thought escalating to the boss, Dr. B, might help facilitating the communication, but I was wrong. The previous financial manager and Dr. B's wife have denied my requests to talk to him saying that he is a clinician and does not know insurance. Last week on 11/14/24, when I was in his office for one of my children's appointment, I asked Dr. B if I could talk to him for a few minutes and I said it was not about insurance. He agreed and told me to wait for a few minutes after he finished a patient. I ended up waiting for 1.5 hours until 6:30 pm when no patient was there. When I finally got to see him, before I even said anything, he insisted taking money from my credit card without my consensus was justified and they didn't do anything wrong, without even listening to me. Also when I was right there, his wife agreed to send me the insurance filing history right away and the financial manager promised me to do research of my accounts and call me back the next day- as usual, none of these happened.
