The poor rating I'm providing is due to customer service, communication, & lack of transparency. Details below:
I obtained new dental insurance the start of this year. I used this new insurance when I had my 6 month checkup/cleaning in March (no issues). When I arrived for my cleaning/checkup in October, the receptionist asked if I had the same insurance as before - and I did. Afterwards, as I'm checking out/scheduling my next visit, the receptionist mentioned that Middleton Family Dentistry was no longer in-network for my insurance (no mention of being out of network prior to providing the service). I asked when this occurred; she said they sent me a letter since my last visit stating this. Neither me or my wife remember getting said letter. The receptionist stated that my bill was $261 (cleaning, checkup, x-rays). I paid the $261 before leaving the office. She mentioned that they would still send a claim into my insurance. Weeks later, I received a bill from Middleton for this visit totaling $359 (37% more than I was originally quoted & paid). Insurance agreed to pay for $64, meaning I owed an additional $34.
I returned to the office recently with the $359 bill in hand and 4 questions for them. The receptionist was very professional and provided me the following:
1) I asked for a copy of my & my wife's records since we need to find a new, in-network dentist. She said they would charge me $1/page, or they could secure email to our new dentist - ok - I'm good with the secure email (the lone decent customer service provided in this experience, I guess).
2) How did the cost of the service provided jump by 37%? Answer - well, the $261 was just an estimate; we don't know the actual price until we submit the claim. Incredible! I don't understand how routine service price could change by 37%. Then she followed that by saying I need to pay the remaining $34 within 3 months after the October checkup (adding insult to injury).
3) I asked for proof that they sent the letter to me/my wife concerning the change (to being out-of-network). No good explanation, no proof that they had actually sent a letter. Seems like a copy would be on file somewhere on their computer system (the same one that can't really track what your costs are until they submit it to insurance...)
4) Immediately following my appointment with them, I received an email from Middleton asking for feedback on service provided. I responded the same day with the issue about no communication concerning insurance coverage. My 4th question was if they had looked at my prior feedback? She said they review feedback daily, but somehow they didn't look at my feedback (or didn't care to respond).
In hindsight, what I think would have been appropriate is for the receptionist to mention to me PRIOR to the appointment that they were no longer in-network. Then I could have discussed what less expensive options were available - e.g., just do a cleaning and not exam/x-rays, or cancel the appointment and pay whatever a cancellation fee would've been.
Also, it would've been appropriate for them to contact me after I provided them negative feedback right after the appointment.
Good business practice is to acknowledge issues and learn from them to improve service - I didn't see that type of behavior in this experience, and I still owe $34... read more
