CIMS has been our HOA management company for over 10 years. As a board member, I have worked directly with several community managers and also have had some additional interactions with both the service managers and the upper management. In general, they check the boxes that need to be checked. They act as a liaison to vendors and homeowners. But over the last decade, they have gone from a involved problem solver, to a complacent, slow, and uncooperative company. After trying to raise concerns to upper management in 2022, we were assured our myriad of issues would be addressed and resolved. It helped for a couple of years, until our manager left for a better company. At the same time, our pricing continued to go up and we started getting charged for more items, and started being warned that certain items which used to be included in our management fee, would no longer be provided or would be add on services.
Somewhere along the way, it was brought to my attention that Associa was now an owner of CIMS. This made sense... we suddenly had new service associates and backend teams responding to our owner requests... frequently with wrong information or resolving cases that were not resolved. In several cases, a vendor would say "this is completed", and they marked the work as complete without reviewing the work done or reaching out to the homeowner. Worst thing for a board member is hearing from a resident that said "4 months ago I created a service ticket. I was told it would be sent to the board for approval, then I never heard another word" despite the board approving the work, and there being a complete dropped ball by management. How do they correct these issues? They re-submit a new work request, do not apologize to the homeowner (making the board look even worse), not notifying the homeowner of the new work, and getting charged at times TWICE for the same repair work (which was never done in the first place).
In 2025, our board brought up several items of concern to upper management, including several issues like service turnaround times, lack of information accessible in Vantaca (such as homeowner feedback or questions), and their inability to accept payment for ARC requests (or track them in Vantaca). What were we met with? Hostility, non-cooperation, and defensive deflections. Not a single issue was even addressed or apologized for... just fought back with excuses and combative rhetoric. When we finally decided to leave CIMS, they called the board, bad-mouthed their past employees, bad-mouthed our future management company, and were completely unprofessional in the way they went about trying to keep our business.
CIMS was a great management company. It stinks that we had to leave them.... but so glad we did. They no longer go to bat for their associations, no longer do proper walkthroughs, no longer are on top of service requests, and are at least 25% more expensive than the other companies we considered. read more
