Grayson Community Management manages the condo community that I live in. I own a unit and was given a bill for plumbing services that I did not request and did not receive. The billing invoice that Aquatek (the plumbing company that Grayson community management uses) had the address as being serviced at an apartment unit in MILLBRAE. I live in Daly City. My condo is in DALY CITY. My mailing address is in DALY CITY. Daly City and Millbrae are both in California but they are not the same city. In fact, the address that needed the plumbing service is 7.5 miles away, which is about a 15 minute drive, according to google maps. I live on Southgate Ave and the intended recipient lives on Frontera Way. They were close with the street number and the unit number is the same. So Grayson community management sends me a lovely bill for $128 for services that I did not ask for or receive. I informed them that they got the wrong address and to please remove the charges from my account. The letter they sent me stated that the "tenant" had called another plumbing company and that the owner is still responsible for the bill that Aquatek is charging. Guess what??? I'm not a tenant. I own the place! It took several months of emails to get a confirmation that THEY (Grayson community management) made a mistake and that THEY would remove the charges. Fast forward 6 months, now they want us to go in front of their committee to get the charges removed. Are you f*%@ing kidding me?? You f***ed up and you want me to pay for a bill for services I didn't ask for or receive?? Nice business you are running. I currently live on one of Grayson's properties (been a resident since 2012) and every experience with them has been a good one. Recently, I got a notice because my truck had been parked for over a year in the community because it was not working. I contacted their offices requesting for additional time so I could sort out a few things and they have been extremely flexible and understanding. Matthew in particular has been a great help. I couldn't be more grateful for all his help as well as the management. Update: I finally was able to sell the truck and the management team were super patient. Thanks for your help! read more

I am a homeowner at the Sonora Property. We recently started a relationship with Grayson. My complaint has to do their business model and how they function. It appears their model is to have all call this 800 line who takes all the calls then forwards to their customer service team. Their call center appears to be in-house but they are not allowed to transfer the call to ANYONE! They are only able to 'create' tickets. WTF. We do have someone from them on site for a few hours a day each week. This person also either takes messages or refers residents to the 800 number than solve any issues. IMO, if someone is on site they should be able to help and take action. They need to dedicate at least one rep to answer calls than have a call center be the message takers. I'm willing to bet this is done to cut costs than anything. They'll probably outsource to India as well. Customer service reps can create tickets as well... there's no argument for confusion or improved efficiency. Big negative on the nonexistent customer service provided. One of the ladies did respond to my ticket and called me back (on request). Well i told her I couldn't take her call at the moment as I was going into a garage without reception. I requested she call me back in 5 min... no call since (EOD already). I tried calling her at her extension.. guess what no answer of the calls nor returns VM. UPDATE: 24 hours later, 3 pm 3/1/15 Still no update from the board. There have been no solutions offered, even temporarily. There has been zero communication from Mark since his drop off about decisions made with regard to hoteling or approved reimbursements. My neighbors are fuming. I'm trying to remain calm and collected. Then again, I'm sure that will change considering the impending work week ahead of me. What a humbling and sucky way to appreciate something we all take for granted - like running water! UPDATE: 18 hours later, 9 am 3/15 Mark called me back and said he is on the way to the complex to drop off those notices and a gallon of water per household. I feel bad for Mark because I know he is doing all that one person could possibly do. I just wish he had the backing of the management property to support these decisions; more water per household and more man power to make it happen. Graham couldn't taken this opportunity to redeem himself by actually showing up instead of hiding behind office doors. Although there's a small sliver of relief that there's finally some movement coming from Grayson it's still not enough to make things right. UPDATE: 16.75 hours later, 7:45 am 3/1/15 I finally got a response via phone call this morning from Mark who I believe was our designated community manager. He informed me that due to a gas line running next to the water main, inspections by city personnel could happen as early as late Monday evening. Not only is that aggravating but our HOA does NOT have a policy currently in place regarding emergency situations and displaced tenants. Mark stated there is no maximum $ amount set that would be reimbursed let alone if any amount would. As usual all decisions need to be run through the board. He suggested saving any and all recipes toward the purchase of water and hotel stays. In the meantime, Mark would head over to the office to create a notice to be handed/posted to all affected tenants. They sure have a funny way of running things. Don't you think this should've been done well in advance, at least giving tenants an opportunity to fill their buckets or pots with water?! read more

Our HOA has been with GCM for more than 7 years now. I specifically want to call out Tony M from GCM for outstanding service. If all of personnel we have interacted with from GCM were like Tony, then I would rate full 5 stars. Tony has followed up, has taken excellent notes, has advised us on tricky issues and more. His work ethic is superior and communications timely and professional. Overall for GCM as our management company - Tracking and managing financials 4-4.5 stars. Have kept our books and general money matters in good shape. - Maintenance items 2-3 stars. Timeliness, Costs can be improved. We avoid engagements for routine maintenance and DIY where we can - Projects Not applicable We mostly manage projects on our own. We are discouraged by the steep charges GCM wants as hourly basis for projects. . - Help with CCR, Bylaws, Rules upkeep and enforcement 2-3 stars. Generally satisfactory for routine things. Usually end up going to pricey lawyers for non routine stuff. Not much help authoring or driving the changes. We again tend to DIY. - Support line 2-3 stars Support especially after hours is worth improvement in effectiveness and responsiveness - Supplier/Vendor choices 2-3 stars Many vendors GCM have tended to be less affordable. We maintain our own selection mixed with GCM s - Fees and expenses 3 stars Fees have been affordable especially for a small HOA like ours. However GCM tends to want to charge steep for any bit of what they consider "extra". So say coordinating a vendor to come inspect the property may get you a substantial charge from GCM. We try to avoid these "extras" If you are a active engaged and more self reliant board, then GCM is a good partner to have for HOA. 7 year partnership is longer than some marriages. So that is a positive. We definitely have day and light difference in our money matters compared to our past management companies and we appreciate that. GCM would do better if they move to offering more fixed price options say as percent of project cost and really take things on end to end so board can hand off and count on good execution at affordable price. Some of these cost issues may not matter for large and newer construction HOA s. But this is not the review from such HOA. read more

Terrible customer service, I'm shocked how they are still in business. I live in a very nice community, previously managed by Cedar Place HOA. Sadly, since Grayson took over, there's been constant emails and letters and paperwork, but I reported an issue with the water drainage in front of my house that the 2 plumbers I consulted stated is an irrigation issue of the front lawn landscape (covered by my HOA fees). I contacted Grayson via phone & emails more than 8 times. Sent them pictures, no response. Then 2 months later, I get an email from them stating that the landscaper has said it's not related to the irrigation of the front lawn. Really? 2 months of no response and now this? Heard of customer care people? BTW I talked to Felix on the phone once & sent him 3 emails, never got any replies. I hope we get rid of this company and go back to Cedar Place HOA, or a similar one. read more

I work with Trip Stop Sidewalk Repair and we are a vendor of Grayson Community Management. We have been working with Grayson for several years and I've had the pleasure of personally working with them for about a year. Matthew, Graham, Amy, and the team are really great to work with. They are consistently reaching out to us about providing property inspections for their various properties, making sure the sidewalks and walkways are safe and up to ADA standards. Although I do not live at one of their properties, I would gladly jump at the opportunity. Grayson has a great relationship with its residents and vendors, and goes the extra mile to make sure their properties are safe and in good shape. read more

HOAs - DO NOT USE THIS COMPANY. I recently moved into a condo that is being managed by Grayson. Tony manages the account, and Joseph (lives in Montana) is our Property Manager. I am very concerned about their business practices and how they treat homeowners. I have done my fair share of reporting problems as the property is not in the best shape. I have found them to be rude, defensive, and often, unresponsive. I have documented their work practices, including not getting multiple bids from vendors (using their "preferred" vendor), lack of responding to emails, and not overseeing the work that is being done on the property. Projects that should take a few weeks, are taking months and the work is shoddy. Clearly, Grayson did not like the fact that I detailed all of this in a lengthy document. In response, they sent me a letter from their attorney saying that I send too many complaints and fabricated a story that I interrupt workers from doing their job on the property. (True only once when I asked a gardener to check with his supervisor whether or not bamboo needed to be pulled.) I feel bullied by these people - and not sure what nerve I must have struck, but clearly, they are afraid of being exposed for their poor performance. Avoid them at all costs! read more

Very very unhelpful. The folks I am talking to don't seem to want to help and only want to communicate via email which is very very inefficient. I had an issue with an HOA payment (note that I've never missed a payment in 5 ears) and asked for some support on how to pay for a previous month and got NO HELP! I would have thought they'd not be helpful if I was trying to avoid payment, but I am asking them to help me pay and still can't find a way to get it done. For a company that has the name "management" in the title, they ought to reconsider how they "manage" their work with external people. Very unhappy with the level of customer service. read more

###### Update: 6/19/2017 Unfrontally, Graystone continues to be marginally capable at management. 1. The hot tub/ spa was finally fixed. This took ~6 months November to May. This is unacceptable. I have not checked to see if the light was fixed yet. 2. I have still never received a response from any email I have sent to help desk. The only response I have received is to this review. 3. In April we had more serious mail theft issues. The robber took a crowbar to the boxes frame severely damaging many of the boxes. This happened two times. This caused may of the 172 apartments to not have a mail delivery option. They were forced to go to the post office to pick up mail. To address this a new mail room was constructed that is less tucked away and requires a key card entry. This mail room opened about 6/1/2017 and we have not had any break-ins there yet. 4. Fales fire alarm issues. In mid-May, a sensor on our water system which is connected to the fire alarm would trigger almost daily for about 10 days at about 4:30 pm. Folks would evacuate their apartments until the fire apartment came and disable the alarm. A good management company would have had this issue resolved after the first false alarm. The story is the same. Inadequate management. ###### Update: 3/16/2017 For the first time since Grayson started managing the Brick Yard they sent out a flyer to owners with updates on the several ongoing maintenance issues. These include: 1. Lighting (still not 100% complete after 3 months) 2. Our hot tub (still broken after three months) 3. Security camera system (still broken, newly installed and broken for the last two weeks) 4. Mail Theft (still outstanding, mail has been getting stolen for the three years I have lived in the Brick Yard) While the flyer is communication it lacks substance. Residents need a timeline for when these issues will be resolved in totality. Most concerning, Grayson still does not respond to emails to Helpdesk@graysoncm.com. In silicon valley, the expectation in IT is 15 min response time for helpdesk tickets. I think one business day is reasonable for a company such as Grayson. Currently, Grayson has responded to only one of my weekly emails for maintenance, request. I have sent 12 in the last three months. If there is one takeaway from this week's update to my review for Grayson it is that they do not communicate with residents. ###### Update: 3/8/2017 Grayson is finally working on the light bulb issue after three months. Fixtures are being replaced and lights are slowly coming back on. However, there are still significant outstanding issues that have not been addressed. Our Hot Tub has been broken for over two months. Grayson says that the heat pump is broken. That is all the communication we have received. Communication is horrible. 2. The hot tub has been broken for two months. The light bulb is also out in the tub. 3. The mail keeps getting stolen in our building (Brick Yard Apartment Complex in San Jose). They have failed to address this. 4. The owner of our unit was sent a bill for from a plumbing company called Aquatech for work that was never done. This was a fabricated invoice. Extremely unethical. The initial adjustment to a new management company was none too smooth, however I now find I receive immediate responses when I contact the manager and things are taken care of. The Board and the Management Company work well together and the complex is improving in areas that were lacking previously. read more

The lack of a direct phone line to speak with someone really makes owners feel helpless. You have to leave a message, you don't always get a reply or phone call back. And there is just no assurance that your concerns are being heard or addressed. Now if it were for just small suggestions, then fine. But this is the experience for even when there's a roof leak during winter storm season! My property is getting damaged and it's been almost a week since I reported the roof leak and no one has been sent to repair or even evaluate it. I haven't even received a phone call back even though someone at Grayson acknowledged receiving my email. I really hope the service starts to improve. Update: the WORST service ever. There is an exterior water leak. I reported it December 10, it's January 3 and Grayson feels zero sense of urgency. It's not fixed, to my knowledge they haven't even received the work order and didn't do anything to expedite it. It's raining all week and there's water in my garage. Over a month to fix an urgent work order?? What is this!! Update 2: January 10th, one month after the problem was reported, and still no date set for the fix. So... I guess a water leak doesn't seem to be considered an urgent fix. Which SUCKS FOR THE HOMEOWNER. What is an urgent work order then? A fire? My ENTIRE wall is covered with water as I type this. I don't own the exterior of the home so I can't even pay a vendor to fix it myself. This is beyond upsetting. Terrible!!!! read more

So far my experiences with this company have been nothing but negative. Their favorite tactic is to respond with an email asking for photos (as if you can see leaking water in a photo!) and then ignore your email. It's impossible to get someone who knows anything on the phone and messages are not returned. I am currently dealing with a leaking emergency sprinkler line that runs through my garage, and they seem to not understand the urgency of the issue. This review is way overdue. I was the president of our HOA when we decided to switch management companies and chose GCM based on promises made by Allan. While GCM was a step up from what we had before, it was mainly due to Matt's eagerness to do his very best (though his apparent lack of experience in property management and lack of knowledge of the local market often got in the way of results). Nonetheless, Matt is the only reason GCM gets any stars from me. Other than that, GCM turned into a complete nightmare to deal with. Allan and his team seemed to think that the contract we put in place was just a light suggestion of what their scope of work was. They simply ignored it. Allan (who was our initially assigned property manager) was rude beyond belief, to the point that we had to request for him to be removed from our account and to never have any interactions with him again. He clearly didn't know much about property management, did not care about helping us, and was generally just lazy and rude. Amy appeared to be on top of things initially but like Allan quickly became one of the most unpleasant people to deal with. Her email communications were snippy, condescending, and rude, and generally she acted as though she was our boss. On several occasions I found myself reminding her that we were the client, not the other way around. At one point things got so bad so fast, and we were getting such poor response from Amy and Allan, that I had to resort to a really poor review on yelp to get their attention. Well, that worked real fast and the next morning I had an email from Amy asking me to take down my review and to give them another chance. During that time our treasurer had gotten to her breaking point dealing with GCM regarding our financials, so she ended up quitting the board just to avoid dealing with GCM. I ended up taking down my review back then hoping Amy's promise to reset the relationship was meaningful, but Amy is who she is and the effects of my review wore off pretty fast. I really do not know why Amy is in a service industry as she demonstrated no skills in dealing with clients. Hopefully over time Matt rubs off on her because she could definitely learn a thing or two from him. Over time GCM made countless mistakes that cost our HOA thousands of dollars either in fines due to missed permit renewals or in loss of revenue from collection cases because they'd make a mistake causing the collection case to close without resolution. The financials were generally a mess and impossible to reconcile. They also provided no assistance with regards to running our building more efficiently and finding cost savings (a huge promise made by Allan during his sales pitch). We had to raise our HOA dues every year while they were our management company. No one at GCM ever really learned our building because they were never onsite. This was an issue with our previous mgt company so we made sure to include a meaningful number of monthly property walk-throughs in the contract. Allan even sent us a sample checklist he said they used during all their walk-throughs to ensure comprehensive coverage. Nope, couldn't get them to come out regularly and never saw a property walk-through report that was anything like that checklist. The best we've ever gotten were pictures of people having bent window screens or having plants outside their doors. And this wasn't for lack of real issues to report. GCM approach to what they do was overall incredibly cowardly. They tend to hide behind email and never just pick up the phone and call. This resulted in incredibly long back and forth email threads, pretty long resolution times, and a lot of miscommunication and frustration along the way. And with them nothing was ever their fault. Or if it clearly was their fault, we'd get an email from Amy saying she was not interested in discussing the issue any more. Needless to say, after giving it a few years, our HOA fired GCM and went with another company (who really isn't that much better, if I were to be honest). Potential clients - don't be fooled by the glowing yelp reviews. As with my case, when I had something constructive to say, I was immediately pressured to take my negative review down. One mistake that we made during our serach for a property mgt company was that we did not assess how involved the referring board members were with the business of their HOAs. We did ask for references and called every single one. In hindsight I can see how a hands-off board can be satisfied with GCM. If you don't check the work, you don't find mistakes. If you don't constantly point out mistakes, then there is no contention. That's not how we ran our HOA though. read more

I am a former Board member and realize the challenges being faced by Grayson as managers who are relatively new to our community. They are attending to problems as quickly and effectively as they can, but sadly they have been faced with new challenges that none of us could have anticipated. It would be easy to point out where they are less than perfect, but I prefer to point out that whenever shortcomings are identified, they have responded with open communications and diligent action where necessary. I have this HOA company and right now, I am very angry at them. I have an urgent situation where I have to get my water heater replaced tomorrow. The installer is coming tomorrow morning and I have to obtain a Permit from the city right now! So, as I was pre-filling out my application form, I noticed that it states if you are part of a HOA, then you would need to provide approval from HOA for the proposed work. So I called Grayson. First time I called I was placed on hold for 6 mins then hung up on. 2nd time I was placed on hold for 5 mins then hung up on again. 3rd time I called I was placed on hold for 7 mins. The lady finally came back to assist on the 3rd time. By now I am already frustrated. She asked for all my general info (which I gave) and what service I needed. I told her this was urgent and I need HOA to approve my waterheater replacement. I was going to City Hall to get my permit right now and I didn't want to miss anything. She said someone will call to let me know, that's it. No explanation whatsoever. Didn't I just told her this was urgent? When I asked when I should expect a call, she said she doesn't know. Then there was just akward silence, like she doesn't know what else to say. I need to get this done now and my HOA doesn't even bother to go above and beyond for me. Now I guess I have to die in a house with Carbon monoxide poisoning because my HOA don't care!!! Grayson Community Management is THE WORST!! *****Update******** Matt from Grayson just called and will email me a statement in the next 10 min that my HOA approves the water heater replacement. It's May now. I wrote my review back at the end of February, and while I am still scarred by the interactions with Allan from those 2 months , I find their new customer support representative, Amy, a breath of fresh air. She is giving Grayson a bit of makeover in image and really putting in that extra politeness, responsiveness, and treating us homeowners as customers. It is a key piece that was missing from Grayson. Now that I am not so frustrated with communication with Grayson, I can better appreciate Allan's background in construction and the initiative he takes in getting our property fixed up and maintained well. Allan has successfully completed a number of lingering grounds issues (repainting, vent-cleaning, leaks), supported the investigation and implementation of a long-term fix to my plumbing issue, and dealt with a few unpleasant surprises (pest problem, stolen equipment) along the way. Overall, I do believe the property has gained value under the management of Grayson in large part due to Allan's attention to the account. I'm hopeful Amy continues to be our contact, and the Grayson team continues to improve. read more

We've been partnered with Grayson for several years now to manage our HOA, and we've suffered no issues with communication or initiative. Tony and James promptly answer emails, which is vital when dealing with homeowner and common ground emergencies--and we've had several. Grayson handles all our accounting, and is diligent about offering timely information as to projected budgets and unforeseen future expenses. In addition, our Board relies heavily on our Grayson team for vendor referrals and scheduling, and overall counsel. We highly recommend Grayson as a community management service. read more

I'm an owner at the Raintree Condominium complex and have been for over 8 years. So, I've basically seen it all. We have had horrendous property managers in there in the past, like Behling and Associates and ORM and Associates. Steve Ormondroyd from ORM was by far THE WORST!! I am over joyed now that Grayson Community Management is in place. They are the best! They respond to every need or request immediately and are professional and courteous. I am thrilled now that they have taken over and really appreciate all the help from everyone on their team, especially Amy Flack. I am one of the owners in BRICKYARD community. Francine Hermosillo is a terrible Assistant Community Manager. We just need to know when will we be able to receive our new garage remote control, and it has been one month and still not being solved. I am not able to reach her every time I call, and she rarely responses email promptly with right answer. As you know, parking is always an issue in downtown San Jose. I've had considerable experience with Grayson both as a condo owner and a board member. Our complex is in excellent physical shape now, chiefly due to their expertise in hiring the best handyman we've ever had, and the firm's construction experience and knowledge. I also used the handyman in my unit after Grayson and the then board decided to proactively fix a recurring 14-year leak that I was almost ready to walk away from after consistent water damage to my kitchen and living room walls, carpet, and flooring, and the presence of mold, to which I am allergic. These leaks were major construction, necessitating underground excavation out to the street. Long story short, I now have a completely updated unit. Appropriate licensed professionals did the work, and I chipped in to get better finishes. The work is impeccable. Grayson oversaw the process, and the handyman renovated the inside of my unit to perfection. Most importantly, no more leaks. I should emphasize the fact that Grayson is the ONLY company, and I knew them all, that did not work to extract as much money from us as possible. Their monthly billings (extras) were always more than reasonable and they consciously worked to keep costs down. Their approach is not the norm. My now 15 years in this complex is colored by the fact that most HOA boards do not understand process, are unwilling to do research, and are ill prepared or unwilling to use the tools that govern that process (the CC&Rs, Stirling-Davis, past practice, and common sense). Otherwise, my water intrusion problems would have been addressed long before Grayson arrived, especially since plumbing bills were continuous throughout these years, and the HOA was responsible since the problem existed behind the walls. During year one of my board service, I was fortunate to have two other members (out of five) who believed in a transparent, ethical approach, and we had communication rules that we obeyed (a discussion with one board member is a conversation; a conversation with two board members is a meeting). That said, one member who totally understands process and uses it to effect his/her will (secret meetings; selective enforcement of the CC&Rs; payments to other board members, etc.) savaged Grayson for uneven columns, late posts of reserve payments, work not completed according to his/her timetable, etc., etc. Nothing was left uncriticized. I resigned from the board after they reassigned my duties to another board member without a vote and they accepted a proposal for continuing services from Grayson and also from another management company to replace Grayson, even though the community requested input before any decision was made. However, only board votes count. Now we have hired another company that charges a higher fee, and it is uncertain whether they will retain our handyman and custodian. Our dues will be raised again, and instead of cutting costs, we incurred higher costs (monthly fees, director insurance, etc.) and will perhaps lose our custodian and handyman. I asked Grayson why they stayed with us throughout all these shenanigans, and they replied "because we serve all of the members." read more

These people are eager to hang up before actually helping you solve any of your problems. It's always the same story, "this isn't my problem." They absolutely love robbing you of your money and your time. When we bring up an issue, they automatically decline service before even investigating what's wrong. This is not may favorite thing to do but I am forced to write this unpleasant review so that other HOA's don't make the same mistake we did. At the beginning Grayson was an ok management company but after six months things started to go down hill. There so many examples I could write a novel. First of all they should not be in business of managing properties as all they do is just pay our bills PERIOD! There is no advice from the Grayson representative who attends the meetings (he or she is there as notes taker) we the board have to do all the research especially when it comes to Hoa legislation. If you have issues than you are asked to send an email for each issue and you have to constantly follow up - why do we pay them the management fee if we have to do all the work?! We had a few projects and they just dropped the ball even though we paid them project management fee. Even though their management fee might be low don't be fooled - they nickel and dime every thing. I have been a board member working with GCM for over five years. When Matt Abad was with GCM, the service was wonderful. Even when Amy was there things got done. Now that these two are no longer there, the services they provide are a fraction of what they are contracted to do. If you removed all reviews commending Matt and Amy, the overall review for GCM would be significantly lower. I agree with another reviewer that said you need to focus on comments from board members (who work regularly with the management company rather than sporadic requests that 'may' catch them at a good time). At the beginning, Grayson was an 'ok' management company (if you've worked with HOA management companies, you will know there is a low bar and a lot of room for improvement). We are now to a point that all they do on their own is pay our bills, collect HOA dues, attend board meetings to take notes, and complete walk throughs. As stated by others, there is no longer advice from the Grayson representative who attends the meetings (she is there as a note taker.... and is actually very pleasant and enjoyable to work with; just not extremely knowledgable in HOA rules/laws/legisltation). Before the person attending the meetings could answer all the HOA legislation/rules questions. Now the board has to do all the research or contact our lawyer. All projects must be managed by board members if you want them to be completed. All regular vendors need to be managed by board members as GCM just doesn't monitor their performance. And after doing as little as they do, they nickel and dime everything they possibly can. I've babysat/micromanaged this group for awhile and can't believe how much work it is to be a volunteer board member. If homeowners had any idea, they might be a little nicer to board members volunteering their time to keep their HOA running smoothly. Our condo association has been through several management companies since we have lived here. Grayson Community Management has helped us finally get our business under control and on the right track. We spent a lot of time walking around blind, not understanding our financial responsibilities. Grayson's patients and personal interest has put us on the right path. Very bad experience with Grayson community management. I have water intrusion problem since Feb of 2017. Nothing gets resolved or fixed by GCM as of today. They left me with bare concrete floor and half cut wall with plywood shown. Water still comes in during the wet days. No progress and no information given. Very unprofessional company. read more
