Please let me begin by saying that I am speaking based on my own experience and not on behalf of my organization. However, I served as the chair of an event that my organization hosted at the Royal Room Event Center. Because my organization serves Clayton County, we are committed to supporting businesses in the community.
When I contacted Royal Room Events, I spoke with a young lady that invited me to tour the faculty and when I went to do so, I was pleasantly greeted and given a tour. The facility is well-maintained and I decided to pay the $450 deposit to secure our date. The representative then invited me to complete the sections in my contract and informed me that the total cost of the venue with the use of tables and tablecloths was $850. At that time I expressed interest in having them decorate and cater our event and received pricing information for both.
Everything seemed professional, but then the issues began. Three days after paying the deposit, I was contacted and told that the date that I paid to secure was not available. Due to a scheduling error on their behalf, they had double booked our event with another event and asked if we would change our date. Although this was inconvenient, we did so and moved our event from January to February.
After a discussion with my organization, that is strictly committed to community outreach, it was decided that due to budgetary concerns, we would seek other means of decorating and catering. I contacted Royal Room Events to notify them of this, well in advance of the program, and was greeted with a laundry list of fees for not using their decorating and catering services. In their defense, the contract did say if you did not use their decorating service, there was as a $100 fee (totally fair), however I was then informed that using their tablecloths would carry a charge of $100. I asked specifically, at the time to the deposit, what the $850 included and I was told the event space and tablecloths. Why all of a sudden do we have to pay and additional $100?
The representative and I debated the charges but, because the deposit had been paid, tickets had been sold and we were locked into the space, my organization decided to pay the tablecloth fee to continue on with the event. We also paid an additional $35 to use the sound system for a total of $1085 for the entire event.
Much to my dismay, I received a call from the event center's owner at 8:50pm the same day and he was quite perturbed that I was no longer using their decor and catering. I was first surprised that he called me so late to discuss a business matter but more disappointed that his tone was rude, confrontational and unprofessional. He proceeded to explain to me what kind of event my organization should have (keeping in mind that he is not a member) and that he does business with other organizations that understand that you have to pay extra to put on a quality event. I was insulted to say the least. My organization is 110 years old and has a reputation for excellence in all of its dealings and has produced many of the nations leaders and influential programs. He was terribly rude and at that point, the spirit of program was damaged.
Doing my best to press forward, I worked with my organization to finish the planning for the program. I contacted Royal Room Events to finalize details for the event. I spoke with a representative and received that information. At the conclusion of that conversation, the representative thought that she had hung up the phone but had not. I literally heard her speak poorly of me to someone she was talking to and it cut deep considering the other disappointments that I had encountered while dealing with the staff. I immediately hung up the phone and called her back to discuss her comments and although she was apologetic, the hurt still remained because we had spent money to be treated poorly.
On the night of the event, we were asked to pay a $50 deposit, which was ultimately waived because the owner had already left and had the only working payment square to swipe credit cards. The manager then proceeded to inform me that my organization was responsible for taking out the trash and that we would have to vacuum after the event. I was completely blown that after paying $1085 that we would have to do anything beyond basic clean up.
Much to our surprise, the manager informed us that she was leaving the venue and that we would only have a security person present during the event. She left the venue before the event began but thankfully it was successful, especially since we would not have been able to seek her assistance had something gone wrong with the venue.
The day after the event, I received a call from the manager informing me that the tablecloths had been damaged due to small amounts of candle wax being on the center of them.
