My concerns are with certain members of the office and administrative staff. When it came time to schedule my child's surgery, the doctor advised that the office would contact me. That call never came. I ultimately had to call the office myself to get my child scheduled. Once the surgery was scheduled, I did what any responsible parent would do: I contacted my insurance company multiple times to verify exactly what my out-of-pocket responsibility would be. I also attempted to pay in advance at the surgery center on two separate occasions and was turned away both times. Prior to the surgery date, I called again with questions regarding payment and was given information consistent with what my insurance company had already told me. I then paid my child's portion before surgery. The issue began when I received a call from a staff member named Victor, who was reviewing my child's upcoming procedure. During the conversation, he informed me that I would owe one fee for the doctor and an additional fee for the surgery center. I politely explained that I had already spoken with my insurance company multiple times and had been told there was only one patient responsibility amount due. The tone of the conversation immediately changed. I was essentially told that my insurance company was wrong and that the office was correct. On the day of surgery, the surgery center attempted to collect an additional payment that I had already confirmed was not owed. When I explained that I had verified everything with my insurance and had already paid the required amount, I was told that it did not matter and that I still needed to pay. At that point, I left with my child and immediately contacted my insurance company. They confirmed that I had paid the correct amount and that the additional charge should not have been collected. My insurance company attempted to contact both the office and the surgery center and was unable to get a response. The frustration did not end there. I then had to make multiple trips and phone calls just to obtain a refund receipt. Each time I spoke with Victor, I was told that only the office manager could assist me and that only certain people had access to provide documentation. The office manager never returned my calls. A week later, I still had no receipt. Ironically, when I called again, another staff member was able to provide the receipt immediately. She explained that the information was available in the system and sent it within minutes. That left me questioning why I had spent an entire week being told that no one else could help me. What concerns me most is not the billing mistake itself. Mistakes happen. What concerns me is the dismissive attitude, the unwillingness to listen to a patient who had already done her due diligence, the contradictory information, and the lack of accountability afterward. In 2026, professionalism, transparency, and respectful communication should be standard. Families are already dealing with enough stress when preparing a child for surgery. No parent should have to argue over charges, chase down a refund receipt, or be treated as though their concerns are invalid after taking the time to verify everything with their insurance company. Dr. Grethel and his medical team were excellent. Unfortunately, my experience with parts of the office staff was the complete opposite. My advice is simple: document everything, verify all charges directly with your insurance company, keep records of every conversation, and advocate for yourself. Had I not done that, I would have paid money that I did not owe.
