Unreadable photo sent by Ivory Pointe billing staff to insurance company

UPDATE: I had to work nearly two years with the CA Dental Board and my dental insurance to get my records. Attaching photo Ivory Pointe submitted to my insurance. This has been our family dentist for 20 years carried over from previous owner. My review and experience is similar to other on-line reviews and comments on Next Door re: dealing with the billing staff. Earlier this year, I had a procedure in which I paid in full when I scheduled weeks before. A few months after I had the procedure, I got a phone call from a member of the billing staff saying my insurance company denied my claim and she needed me to give her my credit card over the phone to pay the balance. I told her I wanted to talk to my insurance company before paying to find out why it was denied. The staff member told me she had already submitted an appeal and that too was denied, and I just had terrible insurance. I still called my insurance and they told me there had been no appeal - huh? The representative said we'll call the office together to sort it out. On the call, the dental billing was verbally abusive. Similar to another reviewer who wrote she had been yelled at in the waiting room by a billing staff member. I'd been told for two years I needed this procedure. After one exam w/ Dr Miller, he said I needed it to save my tooth. I was getting calls every couple of months to schedule. Therefore, it seemed this should've been approved. The insurance company responded that the dentist insufficiently provided justification. It was explained to me that the only tooth image provided was barely visible due to darkness and didn't include the root additionally the narrative was only a couple of sentences- simply there wasn't enough there to make any judgment, so it was denied. I thought no way- this office is very high tech. Dr. B even apologized during the appt for taking so many images, but she wanted to make sure I had what was needed for insurance. It made no sense these were not part of the claim - so once again we called the dentist for a three-way call. There was no answer and my insurance left a voicemail requesting they forward me the email w/ the claim. I didn't receive an email or any response - we made another attempt and I've sent multiple emails continuing this unanswered request. If an inadequate claim was submitted, this is a complete breakdown of patient trust and the dishonesty coming from their office is unethical. A review of the claim would clear this up - but repeated requests have been ignored. Staff tried to bully me like other reviewers because of a failure on their end. Patient care includes how a patient is treated by staff. It is very disappointing as it feels this is not recognized as this same theme of complaints is ongoing.

Billing patients a year later. Ask for proof!

Oh man, where do I start? The office is amazing. Seems like they spared no expense on state-of-the-art equipment. That's where the good part ends. Full disclosure, I haven't been there in over a year but I'll explain why I'm finally writing this review at the end. First, they try to upsell EVERYTHING but what's worse is that there is inconsistency in their upselling. The hygenist told me I need to get a medium cleaning (or something to that effect) but it wouldn't be covered by insurance. The dentist then dropped by to say that a regular cleaning would suffice. Same thing happened to my wife, Dentist said one thing, hygienist says another! Unfortunately, she went for the medium cleaning and had to pay a lot more out of pocket. It seems like they're trying really hard to pay for all the cool new stuff but failing at getting their stories straight. I did need a filling. Ok fine, let's do it. They charged me upfront for the appointment I had to make for the next day. I asked very clearly "This is the entirety of what i owe, correct?". The receptionist explained that yes it was. I come in the next day for my appointment and they try to charge me the exact same amount AGAIN. We're talking about a couple of hundred dollars! I made sure that it wasn't a double-charge and they realized it was. Unfortunately again, my wife was double-charged just like me but didn't catch it. Now comes the actually appointment for the filling. Lady dentist injects novocaine but explains that she doesn't want to use too much because I'll be numb all day. Ok, she must know what she's doing right? Nope. I felt everything. Halfway through, she finally could tell i was in pain and asked if I wanted more novocaine. I've never had this happen before. Finally, the reason I'm writing this review. 12 months after that filling appointment, I get another invoice from them. They are certain that I owe them more money. They haven't been my dentist in over a year but somehow I have an account balance?! They will call you over and over until you concede to pay a balance that doesn't exist. Last word-of-warning, take any 5-star review with a grain of salt because they offer to enter patients into a drawing if they leave a 5-star review on yelp. Ethical, honest? You tell me.

I am unfortunately one of those people with weakened enamel that is hereditary so I find myself in the chair getting procedures regularly. It has been a while since I needed anything until yesterday. To say I was terrified would have been an understatement. I couldn't eat, I was shaking, my heart was racing all the way up until I sat in the chair. Then I was reminded why I love this practice. Sara cranked up the 60's jams to give me something to concentrate on, threw a stress ball in my hand, and helped me calm down. Once I was settled, she talked me through every step that was going to happen. When Dr. John came in he makes you feel like your friends from way back with his calm bedside manner. My crown was a breeze with the help of some gas... and his steady hands. I trust Dr. John and the staff of professionals implicitly and that's why I will always recommend his practice to anyone who will listen. His front office professionals are always going above and beyond. Alisa and Stacy are kind and thoughtful. My hygienist Gillian is as good as it gets, she even stopped in just to give me a hug yesterday since she knows I get nervous. It's the little things too, like knowing I don't care for mint so making sure I have Pina Colada numbing agent or Cake flavored fluoride paste. They deserve 30 stars, not just 5!!!

That was until my last cleaning. It has taken me a long time to write this review particularly because of life and particularly because I really didn't want to- but here goes. I went in for a cleaning and will admit I was overdue. I was called in by a younger hygienist who made a point to tell me she hadn't been working long. Ok? On examination she screamed oh my god is that popcorn?!? Did you eat popcorn on your way here?!? I was incredibly embarrassed. Then she checked for pockets in my gums and pushed herself away from my chair and said I need to get them to make an estimate and left the room. She came back and said I don't think I should even do the cleaning because you're going to need so much more. I looked confused and she said she could do it if I really wanted but it would really be a waste of time in her opinion. She then asked if I wanted to look at a kids picture book about stages of dental disease. I was done!!!! I didn't know what to say so I started to laugh partly to keep from crying and she asked me what I was laughing at. I said you know what- I'm done. I unclipped the bib and walked out. While sitting in my car trying to compose myself before driving home- the manager followed me out to ask what happened. I explained everything and mentioned I kinda have a fear of the dentist so this made it all so much worse. She told me the hygienist was newer and recommended I book an appointment with a more experienced hygienist. But this meant more waiting and talking time off work. Honestly it never happened. I'm sad about this because as I said this has always been a kind and gentle place that aside from a crown popping off did what I thought was good work.

If you're looking for an Orthodontic office that will over charge you, misplace your patient records, then pretend they never saw you before and try to add an extra couple of thousand dollars to your bill....all the while acting as though you are less than nothing and that you should be honored to be their patient....well then, this is the place for you. =( That is precisely what happened with me. I came to Dr. Roncone as an adult...for my own braces. We met with Roncone...he evaluated my orthodontic situation and we were then sent in to his PR person who gave us the estimate for my treatment. Roncone's estimate was significantly higher than either of the two other respected Orthodontists we had interviewed...but we were impressed by his Curriculum Vitae...and bit the bullet...scheduling all treatment, molds, x rays, etc. with his office. We then paid a significant sum (upfront) and began Orthodontic treatment. I had Panoramic Xrays taken and molds made by his staff at his office. When I returned for my first visit with Roncone...his office couldn't find my chart. They had also managed to misplace my molds and Xrays. In the interim, I had met with Roncone's son...who adjusted my existing retainers. We spoke with Roncone directly. He acted superior and behaved as though we had simply drifted in off the street...and that he had never seen me before. This although he had personally conducted our first visit. He then took a cursory look inside my mouth and had his PR person inform me that it was his intention to add an additional $2,000 to our original estimate....and that since they had misplaced my Panoramic Xrays...and full mouth models...they would re-do them and charge me a second time! I find it noteworthy that Roncone's staff behave as though they are walking on eggshells around the man. Do yourself a favor...go somewhere else. p.s. I later went to Paul Styrt DDS (graduate of Harvard, practicing in UTC. Styrt is wonderful.
