This HOA management company tries hard to be of service when you contact them by phone. My problem is that I'm old and not tech savvy. I much prefer face to face meetings and paper versus online information. That's just, my preference. I cannot "attend" board or member meetings because I don't have the tech to do online meetings. As such, what is happening is unknown to me. Seeing people in person is much preferable to detached online entities. Again, my preference and age speaking. I know tech is replacing humans and is more efficient in many ways, but I much prefer human contact. read more

Many HOA companies out there are garbage. Some are actually great. Propvivo is unfortunately part of the former, not the latter. They had multiple bogus claims against me which were all dismissed when the HOA board looked at them. That was at the August HOA board meeting. Then, in September, October, and November, they had 3 brand new violations for me in retaliation. I did not receive the violations then, though. I received all 3 on CHRISTMAS EVE! I have already addressed this with our HOA board, and all three will be thrown out at the next board meeting... but it is a gigantic headache and they literally attempted to ruin my families Christmas. One of the best property management company I've had. My recent experience with DIVYANSHU was excellent. There was a disconnect/miscommunication between my tenant and HOA on a violation resolution. After notifying Divyanshu, he coordinated the issue with HOA in the next HOA meeting and informed me & my tenant on resolution actions. I was impressed the care and efficiency involved here. Overall I've had very good experience with this company. Always follows up on question either on email or phone. Handles reported issues very quickly, ensure issue resolution. Communicate and coordinate requests between HOA and owners effectively. read more

So far, so bad. Trossachs HOA recently switched to PropVivo for property management, and PropVivo can't even get autopay to work. On top of that, they close out service requests when nothing has been done (multiple times). If they can't even handle such simple to tasks, I shudder to think what the experience will be like for something more significant. read more

I am a Board member and Propvivo started managing our community in October 23. It is nearly the end of January 24 and we still dont have any financials. I have been trying to get the October financial since December. Propvivo lies to me and tells me they will have them on a certain date and they never come. Lenders require 90 days of current financials and this is causing our resale certificates to be out of date. A sale that was supposed to close is on hold because of PROPVIVO's incompetence. They promised us our Portal would let the Board see current invoices and other financial information but after nearly four months this is not working. I cannot even see my own owner ledger in there portal. This was supposed to be up and running within the first 30 days. It seems they over promised and under delivered. They said they would have our community onboarded within 30 days. Its been nearly 120 days and they are far from having the onboarding completed. Stay away from this terrible company. They lied to us to get there business. There are so many better management companies out there read more

I advise you to be extremely careful about hiring PropVivo Management Company for your Condominium Association. They have misled our Board of Directors into thinking that they are not responsible for the 2 lawsuits we have sustained since 2019. The first one was due to Agynbytes inability or refusal to honor their contract on any level but they charged us their fees plus an extra 7-10,000 dollars a month for "project management". There were no projects!!! Our Board paid all those charges and never asked for an explanation. The second was under PropVivo for not following the strict instructions on responding to an emergency within the time frame that the law dictates. Our Association Manager has wrongly convinced our Board that they are not responsible for the lawsuits!!! It's incredible!!! I tried everything I could possibly think of to try to get our board to study our Governing Documents but the Association manager told them they don't have to learn "that stuff". She has refused to enforce our rules and so did Agynbyte so we have had, basically, no rule enforcement since 2019. I'm an older woman with 25 years experience on our board under companies that insisted we do our jobs and enforce the governing documents. I never seen anything as insane as our board of directors over the last 5-6 years. They refuse to do their jobs and since we have these 2 lawsuits that our insurance company has had to settle I would imagine that one more lawsuit and our insurance will be canceled. I would sell and get out of here if there was any place for me to go. There isn't. So, here I am on a sinking ship that was absolutely on perfect course under good management with Yates Wood (gone now bought out) until pirates, people who thought they knew more than anyone who has studied condominium management for decades got themselves elected and between their ignorance and covid, have steered our ship straight into the rocks. That direction is being supported by PropVivo. The condominium complex I'm talking about, where I, unfortunately, am forced, through tight finance's, to live, is Newport Hills Townhomes in Bellevue. Please, make sure that the people who are running for election to your board understand their responsibilities and know your governing documents like the backs of their hands so they cannot be misled by companies who do not want to honor their contracts!!! read more

We just moved out of state (Lake Stevens to Surprise, AZ) and discontinued our HOA service with this company at that time. They had indicated that our payments to them would stop upon our move but of course, that was not the case. When I disputed the issue, they were quick to refund the extra payment and said that (once again) we've been taken off auto-pay but who really knows? They have a local number and mostly do a good job at responding to calls and emails but still, they're lousy at managing. read more

I love this management company!! Each time I submit a service request (fallen street sign, shattered glass on the grass, overgrown shrubbery), they have sent someone out to look and fix the problem - and not with multiple reminders either! When I submit a service request, the problem is taken care of within the week - that's a better response time than my own children and husband! Plus at just $53 a month, I think they are well worth the cost. read more

Following is the letter I just sent this company. I live at the Westwood Condominium Complex in Kirkland and, ever since they came on board, not to mention the current Board members, I have regretted ever buying a home here. "First, I would like for you to send me the HOA regulations/rules, etc., that pertain to your being allowed to enter my home, I've never heard of this before. It feels like an invasion of my privacy. Second, what is your definition of "needs to be immediately replaced?" I've been living in this unit since August 2019 and now the windows need to be immediately replaced if not in good condition? I'm living on a low fixed income and this will, if my windows should need "immediate" replacing, prove to be a hardship. And I reserve the right to take this report to another party, NOT chosen by you, to have them take a second look at the figures. The people who entered my home were from a construction company. If they are doing the inspections and the replacing of the windows, that seems highly suspect." You and the Board have been nothing but trouble to this complex ever since you took over. You schedule outdoor inspections, wanting us to have our yards available for entry but yet don't show up. That meant I had to have my back gate unlocked the entire day for nothing. I witnessed members of the Board sauntering past my yard twice the last time you were "doing inspections" yet not looking once at my yard. Or, you schedule an outdoor inspection, fence staining, whatever, and then reschedule it. You don't even spell out specific items that should not be on or next to the fences." In addition, I should mention that it took months to get the lamppost light by my unit replaced while I had to go up and down my stairs that lead to the sidewalk in pitch black. Also, when I needed to get my deck replaced due to the accident I had on it because of worn-out boards, they needed to know in addition to all the specifications and company doing the construction, exactly what I was going to pay for it before they would approve it. I recently rented my unit 203 in yarrow bay Kirkland Washington. My renter started moving in on April 8th 2023. They parked their car on a guest spot on April 18, according to a recent rule by HOA the owners or renters cannot park on the guest spot. Since I was not informed by the Propvivo management company or received any notice to inform me that my renter parked their car at the guest parking right away, I could tell them to remove their car and never park their car there again. However, Propvivo management deliberately waited to inform me until April 29 and May 10 for parking violation at guest parking on April 18 , 24,25 and 26 respectively in order they can charge me four times for $500 each day, a total of $2000 fine. The propvivo management collaborated with a few people whom they have monopolized the HOA board to use extortion to get money which could be resolved by one phone call if I or my renter knew the first parking issue on the same day on April 18 we would not have the other parking issues or charges . So , this HOA board is negligent for not informing me or my new tenant on this matter on April 18 because they wanted to make extortion per HOA rule .Please note: Even if a city cop gives you a ticket you would be informed the same day so you know . We have been deprived of that right to know right away on April 18. If we were informed on April 18 we could call the HOA board on April 18 and explain that my tenants were in the process of moving and this would not repeat again and None of April 24, 25 , 26 would've happened . So ,Also we could explain why they used guest parking on April 18 to prevent any bogue charges . Please stop this company from making extortion money by not informing on the same day on any so-called "violation " . This company is using any means to charge by bogus planes. Please have them waive all $2000 guest parking fine for my renter . This HOA company is a joke. To set up an online payment, you need to submit a code request, then wait for 4 days, then call them 5 or 6 times to make it happen ( still no online code btw). If you use your credit card there will be a 3% "convenience" fee for them or a complete inconvenience for me. Really disappointed in the amount of time I had to spend to make a payment. This company only focuses on towing cars. My car was towed away within 24hrs although it said it would be towed after 24hrs. And the reason is I parked at visitor parking at the night because I saw a sign beside the community which says parking is not allowed on the road the next day. As a homeowner, I lost access to their site and requested access many times over email. Finally, I called them and they were able to get it resolved within 24 hours. Kudos to that. As an ex-board member, the experience has been generally good. They were definitely a step up from The Management Company (TMT) with their website and focus on the homeowners vs the builders. I think managing an HOA is inherently difficult when you have systemic problems like issues with governing documents, cultural issues, easement issues, builder transition issues, etc. It's easy to unfairly blame the management company and/or the volunteer board. read more

I reported an minor issue on Sunday and propvivo had multiple vendors look at it by Tuesday and it was fixed by Wednesday.

This company sucks. They send me a letter saying my HOA is past due and have collected fines. I have sent them statements that it has been paid. Now they claim it's violation of having a grill on deck which was allowed before I moved but then they changed their mind. Maybe better communication and explanation would be warranted. PropVivo's tag line is "The Service Your HOA deserves". I am 100% certain that one (or both) of the following two things are true: 1. Service is actually a typo of disservice 2. The company believes that HOAs deserve lackluster service This company is a ragtag organization led by a founder who excels at unprofessionalism and whose life motto is probably "over-promise and under-deliver". I only found out about their poor reviews after I had committed to moving into a property managed by them, and the interaction I have had with them so far has only underscored what other reviewers have said. Phil and Shane have both done a masterful job of describing the pitfalls of working with PropVivo. I wholeheartedly agree that the owner does a dismal job of responding to queries, and when he finally does so he tends to respond with vague language and overlook key issues raised in the original message. His correspondence is also often peppered with grammatical errors. I hate being a grammar Nazi, but that is also a professional no-no. Their resident portal is a big joke as well and lacking in useful features, like the ability to make online payments. C'mon PropVivo, paper checks are so last decade. While I have no control in how our board chooses to govern the HOA, I can only hope that they wise up to PropVivo's nonsense and switch providers before we run into more serious issues as encountered by other properties. Meanwhile, if you are a board member shopping around for a property manager, it would behoove you to strongly consider a better alternative. As someone once said, wise men learn from their mistakes, but wiser men learn from the mistakes of others. read more

Propvivo is a predatory property management agent that links up with the even more predatory Condominium Law Group. Since 2017, 12 out of 41 homes in my neighborhood, had liens placed on them and threatened with foreclosure. Since Propvivo came in at 2015 . . Our dues went from $260 to $780. We don't have a clubhouse or swimming pool to maintain. We have a common area that is unusable. Nitin Dixit works out of a "virtual office" . Our neighborhood is in shambles. See pics below. This company is a complete joke. They charge $450 a year for maintenance of shared property for a group of houses in Lake Stevens Washington. They didn't even allow us to pay monthly. Because these houses are listed as condo as well, they have gotten away with all kinds of issues. For one thing, the shared property is little piece of land with a Cascade Crest sign and a few bushes. Weeding and trimming the bushes would take a single person 2-4 hours to do on a weekly basis. It's not taken care of on a weekly basis. In addition to the $450 fee they charge monthly, I just found out these crooks charge any home seller with a fee of $150. For what ? Changing the ownership of the home on their books. read more

The violation system is quite the racket. Got a new stove delivered on pallets. Didn't know what to do with them - the company was supposed to take them back but didn't. Leaned them on the garage so we wouldn't forget to set them out for recycle. The pallets were new and looked fine. We were fined $25.00 for an unsightly conditions. Recycle is every other week. We missed the first opportunity but got the second one. A couple of weeks of something neatly stacked awaiting recycle pick-up is a ridiculous misuse of fines for an unsightly conditions. It was barely noticeable as there was always a car parked in front of it. Don't expect them to use any sense of reason when it comes to getting extra money for the coffers. read more

I'd initially rated PropVIVO a 5 Star after our HOA initially took them on board after we had dismissed the former non-performing management company. After a brief honeymoon period where things were initially looking up and promises were made, things started to go downhill rapidly. Two years in, we've hit rock bottom with them and now we've started to dig with no end in sight. I feel exceptionally bad about this, as I did recommend PropVIVO to the board having served in the past as president myself. Additionally, I generally like the owner, but his business does not deliver. There are so many shortfalls, I don't know where to begin. Communications are sporadic. Sometimes going days without a response, if at all. Frequently these responses come by email, for example in the middle of the night on a weekend which leads me to believe offshore virtual assistants are being utilized. PropVIVO' s staff continually drops the ball when working with the city, vendors, or carrying out the will of the board members as defined in our governing documents. This has resulted at least two projects that seemed relatively simple to drag on for two years now; the repair and maintenance of the community fencing, and the coordination with the city to install a couple no parking signs. Additionally, PropVIVO is reluctant to fine community homeowners for any violations as they are concerned they may receive too many poor Yelp or Facebook reviews. As a result, the board is continually following up with PropVIVO to determine what if any action has been taken. Overall, the issues stated above have resulted in an inordinate amount of time the board members have spent trying to manage the community, and they are exausted. Management is the responsibility of the management company, not the board members! If I didn't imply it already. PropVIVO has no apparent processes in place to manage anything. Everything they do or communicate is haphazard and sporadic. We cannot count on them to fulfill their responsibilities, and even though we have good rates with them, it is no longer worth doing business with them. As the old saying goes, you get what you pay for. Our board has some tough decisions to make in the coming weeks, and it is my recommendation that we yet again look for a management company that is capable and willing to manage. If we cannot find one, I'd rather see the HOA disbanded than going through this nonstop turmoil we are experiencing with PropVIVO. read more

PropVivo Property Management advertises on their website that they offer financial management, administration, property inspections, vendor management, a customized portal, fast response times and customer support. After one year as our HOA management company I can tell you this.. they either never delivered on, under-delivered or flat out screwed up on nearly EVERY ONE of those claims. Our initial red flag about the PropVivo owner was after we felt that he dealt with us as if this was a part time job for him. After a quick Facebook search, we found out that the PropVivo owner did in fact hold down another job. Seriously running a quality, professional, property management company cannot be "your other job". Let me start by talking about their promise to provide us a customized portal. We never saw a functional customized portal (website) until EIGHT MONTHS into our year's contract with them. We started asking about it in February and was told it would be available in another couple of weeks. After more time passed, we repeatedly asked about status and was told over and over again that it would be usable in "...the next couple of weeks". Finally, in June, they told us that they have to have to completely relaunch and it would (again) be usable in a few weeks. Finally, in AUGUST, our residents were provided their login codes and were greeted with an extremely BASIC website. I didn't even include copies of our governing documents. As to site inspections, in our hiring interview we made it clear that we wanted a report out after each monthly site inspection. We got ONE. After seeing so many site issues not being addressed, we finally arranged to accompany them on their next visit. While making these arrangements, we found out that their inspections were conducted via a car and that they didn't even drive down some of our side alleys, completely missing inspections of several homes. When we finally met to accompany them, they didn't find ANY issues in our development. They were totally dependent on the accompanying board member to identify any of the issues...and there was a long list of them. The highlight of them NOT administrating our account was when we stumbled onto the fact that they had let our HOA certification, with the State of Washington, expire by several months. When it comes to vendor management we had two HUGE issues. First, they struggled for WEEKS to work with our landscaping vendor to fix failed sprinkler timers that actually lead to some of sprinklers running 24/7 This caused flooding in one area of our common area and drove up our development's water bill. Two board members finally manually shut down the system themselves and the final fix came WEEKS LATER. Secondly, when we tasked PropVivo to get us new landscaping bids, it again took them WEEKS to get them to us. Fast response times were EXTREMELY RARE. Every time they were called out on this issue they would always have a lame excuse. (missed your email, owner was out of the country, etc.) Our final issue(s) with PropVivo came after firing them. Our new management company says that PropVivo has been the MOST DIFFICULT transition they have ever had to deal with. They would repeatedly promise documents, etc. and not provide them. The would provide others only after huge delays. Nearly two months after beginning this transition, there are important items that PropVivo still HAS NOT turned over. We made sure that we maintained solid documentation of all of these issues (and many more) in saved emails and text messages. We wanted to be sure we were able to well document ALL of our issues should PropVivo be so foolish to use us as a reference for them. If you are looking for a new property management company, and PropVivo comes up on your radar... RUN, don't walk, in the opposite direction. read more

The Propvivo staff are friendly and interested in helping clients however unless you are a person who can process a significant amount of information in a short amount of time and draw conclusions on your own you may have some challenges in reaching a resolution. My particular situation was regarding a misunderstanding on balance due. I missed a payment and needed to bring my account up to date but after three phone calls and three large payments I could not seem to get my account up to date. Not until I myself was able to determine how this could keep happening, did the situation resolve. The customer service agent was providing numbers that did not take into account fees that would be posted in the following days which led to a continuous balance that I was unaware of. Even after talking to the service agent and paying off the balance expressed by the agent, the following day a new fee would be posted creating a never ending cycle of balance due. I finally asked the kind and patient service provider to give me my balance to include projected fees and brought my account up to date four months after the initial missed payment. If I had not connected the dots I am not sure the situation would have resolved. The company did follow up with three emails, receipt, confirmation my account was to date and the link to this review. This was greatly appreciated, I just wish it occurred faster than four months as my mistake cost me over $300. read more
